WhatsApp AI Assistant: A Setup Guide for Businesses

If most of your customers message you on WhatsApp, an AI assistant that answers frequently asked questions and collects appointment and quote requests can save your team a significant amount of time. Here are the steps to setting one up correctly.

Digital interface representing an AI assistant

Short answer: A WhatsApp AI assistant is built on Meta's official WhatsApp Business Platform (Cloud API). The assistant is fed with your own business information (price ranges, opening hours, services, FAQs); it answers common questions instantly, records requests in a structured format and hands over anything it is unsure about to a member of staff. Unofficial "WhatsApp Web automations" should not be used, as they can get your number banned.

What tasks can a WhatsApp assistant take on?

The quickest gains come from repetitive, rule-based questions:

  • Frequently asked questions such as opening hours, address, scope of services and price ranges
  • Information gathering for appointment, site visit or quote requests (name, need, preferred time)
  • Status inquiries for orders, service jobs or applications (by connecting to your own system)
  • Instant replies to messages received outside business hours, plus a prioritized list for the next morning

The assistant's job is not to replace your staff but to hand them a request that is already prepared.

What is the difference between the official API and unofficial methods?

TopicWhatsApp Business Platform (official)WhatsApp Web automation (unofficial)
Account securityApproved by MetaHigh risk of the number being banned
ScaleMany simultaneous conversationsPhone/session must stay open
Bulk and notification messagesPossible with approved templatesMay be flagged as spam
PricingMeta's current message pricingSeemingly free, but risky

How does setup work, step by step?

  1. Business verification: A Meta Business account is opened, the business is verified and a phone number is connected for WhatsApp.
  2. Knowledge base: The content the assistant will rely on when answering is prepared: services, price ranges, FAQs and rules. The assistant should never go beyond this content.
  3. Conversation flows: For scenarios such as appointments, quotes and complaints, you define what information needs to be collected.
  4. Human handover rule: In sensitive situations such as price negotiations, complaints, or health or legal matters, the conversation is automatically transferred to a member of staff.
  5. Dashboard and records: Incoming requests land in a management dashboard or CRM, so the team can see who wants what on a single screen.
  6. Pilot and measurement: Start with a limited topic, then expand the scope while monitoring answer quality and the handover rate.

What is the 24-hour rule?

On the WhatsApp Business Platform, you can reply with free-form text within 24 hours of the customer messaging you. After that window closes, or to message a customer who has never written to you, you must use pre-approved template messages approved by Meta, and the customer must have consented to receiving such messages. This rule should be factored in from the start when planning reminder and campaign messages.

How do you stop the assistant from giving wrong information?

  • The assistant only generates answers from a knowledge base you have approved; when it does not know something, it says, "I'm passing this on to our team."
  • Critical information such as prices is provided through fixed rules rather than left to free-text generation.
  • An output filter is applied to outgoing messages: replies containing banned phrases, binding price commitments or personal data are blocked.
  • During the first few weeks, a sample of conversations is read and the knowledge base is corrected.

What should you watch out for regarding data protection?

Conversations contain personal data. Under KVKK (Turkey's Personal Data Protection Law, Law No. 6698), which is broadly similar to the EU GDPR in its general concepts, a privacy notice should be shared in the first message or in the profile description, the data collected should be limited to what is needed to fulfill the request, and records should be protected against unauthorized access. You should also check where the AI provider you use processes and stores the data. For details, see our article on AI and data protection.

Yes. In a well-built system, a staff member can take over the conversation from the dashboard; the assistant goes quiet in the meantime and the handover is logged.

Usually yes, but once the number is moved to the WhatsApp Business Platform, it may not be usable in the phone app at the same time. This should be planned before the switch.
